Delegate Terms and Conditions

Close of registration
Close of Early Bird registration is Friday 27 September 2024, and payment is to be made within 7 days of this date, otherwise the registration will be altered to standard registration ticket price. Standard registration (with accompanying payment) must be received at least 7 business days prior to the commencement of the Conference.

​Note: All conference attendance is not confirmed until payment is received for your registration.

Cancellation policy and transfers 
Delegate cancellations received after Friday 25 October 2024 will incur 100% of the applicable registration price. Only the delegate registration fee will be refunded prior to Friday 25 October 2024. Credit card charges incurred will not be refunded.

 

Cancellations are only applicable in exceptional cases and at the discretion of SCA (WA) Office. Transfer of registrations will be accepted until Friday 8 November 2024. All cancellations or transfers must be received in writing to SCA (WA) via email to events.wa@strata.community.

Dietary Requirements

Dietary Requirements must be provided by Friday 1 November 2024 . Although SCA (WA) will make every effort to accommodate late additions, please note that due to varying venue terms and conditions, we cannot guarantee that any dietary requirements received after this date can be accommodated.

Program disclaimer
SCA (WA) reserves the right to alter, amend, vary or otherwise change the program at any time as circumstances dictate without further notice to registered delegates. Every effort will be made to provide a program of equivalent standard and value.

​Policy on “Suitcasing” and “Outboarding”
In order to protect our valued exhibitor and conference sponsors, and the investments they have made in participation in the CHU SCA (WA) 2024 Annual Conference, we are enforcing a strict “suitcasing” and “outboarding” policy.

Suitcasing

Suitcasing will not be tolerated at all.

 

Any Strata Services who is not an exhibitor of the conference is NOT permitted to openly market products/services during the conference.

 

Delegates, who are not official exhibitors or sponsors of the conference may:

  • Converse and network with other delegates and

  • Hand out business cards.

 

Delegates, who are not official exhibitors or sponsors of the conference may not:

  • Hand out any form of marketing material for products/services of their organisation;

  • verbally market services;

  • make appointments to meet with delegates during the conference period;

  • Wear branded clothing in any way with identifying organisation logos or text is during the conference or its functions. (This is applicable only to service providers and not strata managers).

Breaking these terms may mean ejection from the conference, a fine equal to the cost of a conference sponsorship and/or the penalty of suspension from the next event and potential loss of membership.

Unofficial Events “Outboarding” Force Majeure
SCA (WA) will not permit any organisation whether a sponsor/exhibitor or not of the conference, to host any event, any kind of invitation only or private event wit
hin the conference date (13 and 14 November 2024) that has not been booked and advertised through SCA (WA). Breaking these conditions carries the penalty of suspension from the following year’s conference and potential loss of membership.

Force Majeure 

Where there is an agreement between SCA (WA) and a Sponsor or registrant, it is automatically null and void if any events offered are cancelled due to an act of God including, but not limited to, hurricane, earthquake, flood, volcanic eruption, tornado, famine, terrorism, war, or pandemic. In the event of cancellation due to an act of God neither party shall be liable for any further payments.

Accommodation

​Terms and conditions apply to all hotel offers, please review specific terms for your selected hotel before completing your booking. If you have a subscription to any loyalty programs affiliated with these hotels, we recommend you check and compare the rates against these arrangements.

Strata Community Association (WA) takes no responsibility for any direct bookings made by delegates using the accommodation links.

Exhibitor/Sponsor Terms and Conditions

General Obligations

The sponsor must:

  1. A minimum requirement of the CHU SCA (WA) 2024 Annual Conference attendance is that all companies must be a current member of SCA (WA) to sponsor and/or exhibit.

  2. Provide (at its’ cost) and set up all branding and marketing material for their allocated Exhibtion Stand. Additional items including furniture are at the exhibitor's expense. For additional items to hire, the contracted trade stand builder details will be given to you upon confirming your sponsorship.

  3. Any variations required to the exhibition floor plan will be at the discretion of the organiser; it is subject to change at any time.

  4. Ensure that it has a sponsorship liaison person available to SCA (WA) at all reasonable times leading up to the Event, for the duration of the Event and after the Event until any resulting matters are finalised.

  5. Provide SCA (WA) with the sponsor’s logo upon request;

    1. In a form suitable to be applied to all promotional and publicity material relevant to the sponsorship set out in this Agreement; and

    2. In accordance with SCA (WA)’s timetable for production of the relevant promotional material and banners.

  6. Carry out its obligations and activities in a manner that enhances the reputation of SCA (WA) and the event in general

Cancellation Policy 

Cancellations received prior to Monday 7 October 2024 will incur a 30% charge of your applicable booking. Cancellations after invoice payment are not refundable. All cancellation must be made in writing to communications.wa@strata.community.​​​

Payments

The Sponsor shall pay any costs owing to SCA (WA), including any applicable taxes, in full (without any setoff) within 14 days of the presentation to the Sponsor of the corresponding valid tax invoice.
